Terms of Service

These terms govern GuestFlow.fm and the related dashboard, booking pages, and APIs.

Last updated: September 12, 2026

1. Agreement

These Terms of Service (“Terms”) govern access to GuestFlow (the “Service”), a product of We Edit Podcasts(“we,” “us,” or “our”). By creating an account, visiting our website, or using the Service, you agree to these Terms, our Privacy Policy, and our Conditions of sale.

If you use GuestFlow for a company or organization, you represent that you have authority to bind that entity.

2. The service

GuestFlow is software for podcast hosts and producers: branded booking pages, scheduling, intake, automated communications, AI episode briefs, guest CRM, calendar connections, recording-link delivery, embeds, and related workflow tools. Features depend on your plan, as described on the pricing page. We may add, change, or remove features with notice where it is reasonable to do so.

3. Accounts

You must be at least 16 years old. You agree to:

  • Provide accurate account information and keep it current
  • Keep login credentials confidential and use Google sign-in only on accounts you control
  • Notify us promptly of unauthorized access
  • Accept responsibility for activity under your account and workspace

Team seats share a workspace. Workspace owners are responsible for who they invite and for the data those members can see.

4. Acceptable use

You may not use GuestFlow to:

  • Violate applicable law, including privacy, recording, spam, and marketing rules
  • Send spam, phishing, or unsolicited bulk messages
  • Harass, defame, or harm guests or anyone else
  • Collect personal data without a lawful basis and, where required, consent
  • Upload malware or attempt to probe, disrupt, or break the Service
  • Scrape, reverse engineer, or resell the Service without written permission
  • Circumvent plan limits, trials, or security controls
  • Impersonate GuestFlow, We Edit Podcasts, or another host

We may suspend or terminate accounts that violate these rules.

5. Guest data

As a host you control booking pages and intake. You are responsible for obtaining any recording consent the law requires, describing your show accurately, and handling guest requests about their data. You act as controller for guest information submitted through your pages. GuestFlow processes that data to provide the Service, as described in the Privacy Policy.

You grant us a limited license to host, process, and transmit your content only as needed to operate the Service, including sending emails you configure and generating briefs you request.

6. Billing

Paid plans include a 7-day trial and require a card. The Free plan never requires a card. Trials, renewals, taxes, cancellations, extra brief credits, and refunds are set out in the Conditions of sale. If those conditions conflict with this section, the Conditions of sale control for payment issues.

7. AI content

Episode briefs and other AI outputs are assistance only. You must review accuracy, tone, and suitability before recording or publishing. We do not warrant that AI output is complete, correct, or free from bias, and we are not responsible for editorial decisions you make from it.

8. Intellectual property

We retain all rights in the GuestFlow platform, software, trademarks, and documentation. You retain ownership of your show content, branding, and guest data.

Feedback you send us may be used to improve the Service without obligation to you.

9. Integrations

Calendar, email, storage, and meeting tools are provided by third parties. Their terms apply to those connections. We are not responsible for outages, data handling, or policy changes at Google, Microsoft, Zoom, Stripe, or other providers you connect. You can disconnect integrations from the dashboard.

10. Availability

We aim for reliable access but do not guarantee uninterrupted service. Maintenance, third-party outages, and events beyond our reasonable control may affect booking pages, email, or calendars.

11. Disclaimer of warranties

THE SERVICE IS PROVIDED “AS IS” AND “AS AVAILABLE” WITHOUT WARRANTIES OF ANY KIND, WHETHER EXPRESS, IMPLIED, OR STATUTORY, INCLUDING IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, TITLE, AND NON-INFRINGEMENT.

12. Limitation of liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW, WE EDIT PODCASTS AND ITS OFFICERS, DIRECTORS, EMPLOYEES, AND AGENTS SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR ANY LOSS OF PROFITS, REVENUE, DATA, OR GOODWILL. OUR TOTAL LIABILITY FOR ANY CLAIM ARISING FROM THESE TERMS OR THE SERVICE SHALL NOT EXCEED THE GREATER OF (A) THE AMOUNT YOU PAID US IN THE TWELVE MONTHS BEFORE THE CLAIM OR (B) ONE HUNDRED US DOLLARS ($100).

13. Indemnity

You will defend and indemnify us against claims arising from your content, your guest communications, your recording practices, or your misuse of the Service, except to the extent a claim is caused by our willful misconduct.

14. Termination

You may cancel from Billing or by contacting support. We may suspend or terminate access for violation of these Terms, non-payment, or conduct that risks harm to the Service or others. Upon termination your right to use the Service ends. We may delete workspace data after a reasonable period, except records we must keep. Sections that should survive (including intellectual property, disclaimers, liability, and indemnity) remain in effect.

15. Changes

We may update these Terms from time to time. Material changes will be posted on this page with an updated date. Continued use after changes become effective constitutes acceptance.

16. Governing law

These Terms are governed by the laws of the State of Delaware, United States, without regard to conflict of law principles. Any dispute shall be resolved in the state or federal courts located in Delaware, unless applicable law requires otherwise. Consumers in the EEA or UK keep any mandatory local rights that cannot be waived.
